Mechanical Operation and Maintenance Manuals
Our service is simple. We will pick up your approved Shop Drawings (along with any O&M materials might you have), Project Specifications and Drawings from your office and deliver the completed manuals, as specified, to your office. We will normally include one extra copy for your own use or archiving.

Electronic Versions of the Operating and Maintenance Manuals
The electronic versions of the O&M Manuals are designed to alleviate the inherent problems associated with paper-based technical documents. Drawings, manufacturers’ literature, certificates and other specialist data are all included electronically. The documents, once created, provide a replica of the paper documents in an easily stored, accessed, and secure format. For ease of use, the familiarity, structure and layout of the paper document is retained.
Documents typically conform to our guidelines or to the client’s own specification and templates, where provided. They are created in a multi-page Adobe Acrobat PDF format with all associated documents referenced and linked, which allows:
- Viewing the documents using a free document reader, thereby ensuring software platform independence
- Security of documents, which allows control of who can alter, view and print the documents
- When printed off, the documents can be assembled into a paper copy manual
The standard electronic version provides an indexed document, which allows the user to quickly access the information contained in the manual.
An interactive version is indexed and cross-linked between documents enabling the user to access all the related information particular to a piece of equipment, such as the relevant drawings, manufacturer data sheets, health and safety information or even relevant web sites.
The documents can be created at any point during the construction process and can be made available throughout the process for use by the construction team and client.
The manual is packaged on either CD or DVD (depending upon file size of project), labelled and in a plastic case.
Required O&M Manuals Information
The following information is normally required to complete Operation & Maintenances Manuals:
- All stamped approved Shop Drawings. We would like to see the number of shop drawing copies to equal the number of manuals required. If this number is not available we will produce the required photocopies.
- It would help if you have “Installation/Operation/Maintenance” materials for each piece of equipment, but we will endeavor to obtain this information if you do not have it.
- Copies of “test reports,” “valve tag directories,” “balance reports,” etc. if required by the specifications. If these are not available at the time of manual preparation we will leave space and inserts for each of these items.
- List of all your sub-contractors. These may be on your shop drawing cover sheet. If so, a separate list is not necessary.
- If there are areas that are not part of your contract such as “Fire Protection” or “Controls,” please let us know. (These may be contracted directly to the general contractor or the owner but may require space to be left for them in the manual.)
- List of all your equipment suppliers. These may be on your shop drawing cover sheet. If so, a separate list is not necessary.
- A copy of the mechanical specifications. We prefer the entire spec, as the manual specifications may be in the front of the general spec.
- A copy of all mechanical drawings.
- A contact name and phone number of your site foreman (unless you do not wish us to contact your site personnel).
